What is Pan-European FBA?

Do you sell products through Amazon? Then you can opt for Pan-European FBA (Fulfilment By Amazon). This means Amazon takes care of your logistics - think shipments, returns, customer service, billing and also warehousing. Because the products are stored relatively close to the buyer, they are in the house a lot faster. It is a good option to reach many new markets and customers. Amazon FBA is often used to help growing businesses/sellers move forward.

What should you do as an Amazon FBA seller?

  1. Have a VAT number for each country where your stock is stored (FBA warehouse).
  2. File monthly or quarterly VAT returns.
  3. OSS declaration in your country of residence.
    It is mandatory to file VAT returns in every country (EU) where you have stock. So it is also mandatory to have a VAT number there. Staxxer can help you apply for Pan-European VAT numbers!

Depending on the country where your stock is stored, the VAT return deadline may differ. In one country this may be monthly, in another you may have to file a quarterly return. Here, too, Staxxer can help you.

Then it is still advisable to keep an eye on your One Stop Shop declaration: you have to do this in the country where you live. This applies to sales you make in countries where you don’t hold stock but do ship to. Then you can choose to specify VAT locally there as well, or you can choose the OSS system. Why should I apply for Pan-European VAT numbers?

The first, and most important reason to apply for Pan-European VAT numbers is because you become liable for VAT if you have stock in another country. When you choose Amazon FBA, you give Amazon a free hand in this. So Amazon can choose where your stock ends up. Therefore, it is smart to keep an eye on this! In addition to being subject to VAT, the FBA program has some other benefits for the seller. The benefits of Pan-European FBA at a glance:

1. Shorter delivery times: because your products are stored relatively close to the buyer in a department store, the order can arrive faster!
2. Low (international) shipping costs: when you join the Amazon FBA program, Amazon offers lower shipping costs.
3. No worries about customer service: Amazon also takes the customer service piece out of your hands.
4. Access to Amazon Prime audience: by choosing Amazon FBA, your products get the prime logo, which is a seal for better service and shipping! This seal of quality also makes your products rise in Amazon's rankings.
5. Better buy-box positioning: by choosing Amazon FBA, your products will qualify for the buy box faster, increasing the likelihood that they will be sold.

How much does it cost?

To use Fulfilment By Amazon (FBA), you need a VAT number in each of the countries where you stock up. This is because you are liable for VAT once you have stock across the border in another European country. Obtaining a VAT number and related documents for each country separately (these vary from country to country) can be quite time-consuming. In addition, for applying for VAT numbers, it would help tremendously if you could speak all languages, because communication around VAT issues is often in one’s own language.

Where can I use the VAT registration?

The One Stop Shop (OSS) arrangement allows you to declare your cross-border sales in one portal. For example, you no longer need VAT registration in every country unless you stock up there. Do you sell more than €10,000,- annually to other EU countries? Then you qualify for the One Stop Shop. Sign up for the One Stop Shop can be done through “My Tax Business”.

Your sales should then be reported quarterly in your One Stop Shop declaration. Here you specify how much VAT you have to pay in each European country, depending on the local VAT rate of your products.

If you declare your VAT through the One Stop Shop, but also have stock in another EU country, you still need a VAT number there. A good rule of thumb is that you need VAT registration in a country as soon as you have stock there.
